OSHA - Integrated Management Information System (IMIS)

EXECUTIVE SUMMARY REPORT

INTRODUCTION TO THE PIA

Purpose

To provide management information to the agency regarding inspections and consultations. Whistleblower data, 11(c) data, is referenced in a separate PIA.

Scope

The legacy Integrated Management Information System (IMIS); the major components consist of Inspections, consultations and 11(c) investigations. The Host database is located in Voorhees, NJ, and the 200+ field sites are located throughout the US , Virgin Islands, Puerto Rico and Guam. The users consist of federal staff, and State and Consultation program staff located in the aforementioned field sites.

Results

The system is primarily composed of records related to establishments where an inspection or consultation has been conducted. The related records are retrieved by industry, by establishment, or by standard cited. In some cases, where there is an accident, a text abstract may contain the name of an individual. Records on the system are releasable, but specific names of injured are not; however, names of fatalities are released. The names of fatalities are shared internally with compliance officers and managers, and externally to public requestors.

The Program Activity File contains time sheets/logs documenting compliance safety and health officers' activities covering inspections, monitoring and other compliance-related data. A PARN is in place for these data files. IT is DOL/OSHA-6, published in the Federal Register/Vol.67, No. 67/Monday, April 8, 2002.

IMIS data that is releasable has been coordinated with and approved by the Solicitor. Releasable data can be acquired through FOIA requests for data from the agency. In addition, some data, that does not contain privacy data, is accessible on the Web by any user.

Summary

This system only qualifies for Privacy Impact consideration because of one data item, the name of an injured or deceased worker. Yet, we will meet the requirements of the Privacy Information Impact as required.
